1. INTRODUCTION AND SCOPE

RMI Flooring (“RMI Flooring,” “RM Interiors,” “RMI,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit rmiflooring.com or any other website, page, or feature we own or operate that links to this Privacy Policy (collectively, the “Site”), when you request a quote or estimate, when you interact with us by phone, text, or email, or when you otherwise do business with us. It also describes the choices and rights available to you.

By using the Site or otherwise submitting personal information to us, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Site.

This Privacy Policy does not apply to information we collect from job applicants, employees, or independent contractors, which is addressed in a separate notice provided at the time such information is collected.

Today, the main ways we collect personal information through the Site are a contact and quote-request form that asks for your name, email address, phone number, and a message describing what you need, and an online pricing/estimate calculator you can use to get a rough, non-binding sense of project cost. This Policy is written a bit more broadly than just those tools so that it stays accurate if we add features in the future, such as file uploads or a customer account portal, and so that it properly discloses practices, like cookies and analytics, that operate in the background of the Site regardless of what a visitor types into a form. We do not collect payment card, bank account, or other financial account information through the Site, and the Site does not process any payments.

2. SOME TERMS USED IN THIS POLICY

“Personal information” means information that identifies, relates to, describes, or could reasonably be linked with a particular individual or household. “Service providers” means companies that process personal information on our behalf and under our instructions, such as hosting, scheduling, analytics, and marketing vendors. “Business partners” means property managers, multifamily owners, builders, contractors, and similar parties with whom we coordinate flooring projects, and who may act independently as controllers of information they collect or share with us. Where this Policy refers to “sale” or “sharing” of personal information, those terms have the meaning given to them under applicable state privacy law, such as the California Consumer Privacy Act.

3. CATEGORIES OF PERSONAL INFORMATION WE COLLECT

Depending on how you interact with us, we may collect the following categories of personal information: (a) identifiers, such as your name, email address, phone number, mailing address, company name, and job title; (b) the content of your message or quote request, which may include a description of your project, a property address, or other details you choose to share, and, if a particular form allows it, any photos, floor plans, or files you choose to upload; (c) commercial information, such as records of services requested, quotes provided, scheduling history, and communications with our team; (d) internet or network activity, such as browsing behavior on the Site, pages viewed, and interaction with our online pricing/estimate calculator, collected through cookies and similar technologies described in Section 7; (e) general geolocation information, such as city or ZIP code, used to route your request to the correct regional office; (f) audio or electronic recordings of calls with our sales or customer service teams, where permitted by law and with any notice required by applicable state law; and (g) professional information relevant to property managers, builders, and contractors, such as employer, title, and business relationship information.

We do not intentionally collect Social Security numbers, government ID numbers, financial account numbers, or other sensitive personal information through the Site. Where a signed service agreement or financing application separately requires such information, that information is governed by the terms of that specific transaction and any related notice provided at that time.

4. SOURCES OF PERSONAL INFORMATION

We collect personal information: (a) directly from you, when you submit a quote request or contact form, use our online pricing/estimate calculator, call or text us, email us, or otherwise contact us; (b) automatically, through cookies, web beacons, and similar technologies when you use the Site; (c) from business partners, such as property management companies, builders, developers, and multifamily owners who refer projects to us or share contact and property information to coordinate flooring services; (d) from marketing and advertising partners who help us identify and reach potential customers, such as digital advertising networks and analytics providers; and (e) from publicly available sources, such as public property records, where relevant to preparing a quote.

5. HOW WE USE PERSONAL INFORMATION

We use personal information to: prepare, provide, and follow up on quotes and estimates; schedule site visits, measurements, and installation services; communicate with you about your request, project status, or account, including by phone, text message, and email; process and manage business relationships with property managers, builders, and contractors; operate, maintain, personalize, and improve the Site, including through automated tools and, where applicable, artificial-intelligence-assisted estimating or lead-scoring tools (a human RMI Flooring representative reviews and finalizes all quotes and service agreements, so automated tools assist our team rather than make final decisions); send marketing communications about our services, promotions, and updates where you have provided consent or as otherwise permitted by law, always with the ability to opt out; detect, investigate, and prevent fraud, abuse, unauthorized access, and security incidents (this is a distinct, standalone purpose that applies regardless of whether you have opted out of marketing); comply with legal obligations, respond to legal process, and enforce our agreements and this Policy; and analyze aggregated or de-identified information for business planning and reporting.

6. HOW WE SHARE AND DISCLOSE PERSONAL INFORMATION

We may disclose personal information to: regional offices, installation crews, and subcontractors or dealers who need it to perform measurement, quoting, and installation services; service providers and vendors who perform functions on our behalf, such as website hosting, customer relationship management, scheduling, invoicing and payment processing for completed installation work (which is handled separately from the Site itself, since the Site does not collect payment information), analytics, and marketing platforms, under contracts that restrict their use of the information to the services they provide us; property managers, builders, and contractors with whom you are separately affiliated, where necessary to coordinate a shared project (in these cases, that business partner may independently determine how it uses information it holds about you, and its own privacy notice governs that use); professional advisors, such as attorneys, accountants, and insurers, as necessary; government authorities or other third parties when required by law, subpoena, or other legal process, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others; a successor entity in connection with a merger, acquisition, financing, or sale of business assets; and any other party with your consent or at your direction.

We do not sell your personal information for money, and we do not share your personal information with third parties for their own cross-context behavioral advertising except through the cookie and analytics tools described in Section 7. To the extent that use of those tools is considered a “sale” or “sharing” of personal information under the California Consumer Privacy Act or a similar state law, you have the right to opt out as described in Section 13.

7. COOKIES, ANALYTICS, AND ONLINE TRACKING TECHNOLOGIES

The Site uses cookies, web beacons, pixels, and similar technologies to operate the Site, remember your preferences, understand how visitors use the Site, and, where applicable, support advertising. We may use third-party analytics providers, such as Google Analytics, and advertising partners for these purposes.

You can control cookies through your browser settings, and most browsers let you block or delete cookies. Blocking certain cookies may affect the functionality of the Site, including the pricing calculator and quote-request tools. Where required by law, we honor opt-out preference signals such as the Global Privacy Control. The Site does not currently respond to browser “Do Not Track” signals, but you may exercise the choices described in Section 13 at any time.

8. TEXT MESSAGES, PHONE CALLS, AND MARKETING COMMUNICATIONS

By providing your phone number and submitting a request through the Site, calling us, or checking a consent box, you agree that RMI Flooring and its representatives may contact you by telephone call and/or text message, including using automated dialing or messaging technology, at the number provided, for purposes including responding to your request, scheduling, and, where you have separately opted in, marketing. Consent to receive marketing calls or texts is not a condition of purchasing any service.

Message and data rates may apply. To opt out of text messages, reply “STOP” to any message you receive from us, or contact us using the information in Section 16. To opt out of marketing calls or emails, contact us using the information in Section 16, or use the unsubscribe link in any marketing email. We maintain practices designed to comply with the Telephone Consumer Protection Act, the CAN-SPAM Act, and applicable state telemarketing and do-not-call laws.

Calls with our sales or customer service team may be recorded or monitored for quality assurance, training, and fraud-prevention purposes, where permitted by applicable law and with notice as required.

9. DATA SECURITY

We maintain administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, or disclosure, consistent with applicable legal and regulatory standards. No method of transmission over the internet, or method of electronic storage, is completely secure, and we cannot guarantee absolute security. Please avoid sending sensitive identifiers, such as Social Security or financial account numbers, through unencrypted website forms or email. If we become aware of a security incident affecting your personal information, we will notify you and take other steps as required by applicable law.

Automated tools, bots, and AI agents interacting with the Site on a user’s behalf must identify themselves as such and may not be used to bypass security controls, scrape data, or misrepresent that a request originated from a human where identity verification is required. We may restrict or deny access to any automated tool at our discretion.

10. DATA RETENTION

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including preparing and honoring quotes, completing projects, servicing warranties, maintaining business records, resolving disputes, and complying with our legal and regulatory obligations. Retention periods vary depending on the type of information and the purpose for which it was collected.

11. CHILDREN’S PRIVACY

The Site is intended for businesses and individuals aged 18 and older and is not directed to children. We do not knowingly collect personal information from children under 18. If we learn that we have collected personal information from a child in violation of this Policy, we will take steps to delete it.

12. THIRD-PARTY WEBSITES AND LINKS

The Site may contain links to third-party websites, social media platforms, or services that we do not own or control. This Policy does not apply to those third-party sites, and we encourage you to review their privacy policies separately. We are not responsible for the content or privacy practices of any linked third-party site.

13. YOUR PRIVACY RIGHTS AND CHOICES

California Residents. If you are a California resident, you have the following rights, subject to certain exceptions: the right to know the categories and specific pieces of personal information we have collected about you, the sources of that information, the purposes for collecting it, and the categories of third parties with whom it has been shared or disclosed, over the preceding twelve months; the right to delete personal information we have collected from you, subject to exceptions such as completing a transaction, complying with a legal obligation, or maintaining records for warranty purposes; the right to correct inaccurate personal information we maintain about you; the right to opt out of the sale or sharing of your personal information, as described in Section 6; the right to limit the use of sensitive personal information, which we do not use beyond what is permitted without an opt-out right; and the right to be free from discrimination for exercising any of these rights.

Residents of Other States. If you reside in Colorado, Connecticut, Texas, Virginia, Utah, or another state with a comprehensive consumer privacy law, you may have similar rights to know, access, correct, delete, or obtain a portable copy of your personal information, and to opt out of certain processing, including targeted advertising, the sale of personal information, or certain profiling. To exercise these rights, contact us using the information in Section 16. We will respond within the timeframes required by applicable law and, where required, provide an appeal process for a denied request.

Nevada Residents. Nevada residents may submit a request directing us not to sell certain covered information, as defined under Nevada law, by contacting us using the information in Section 16, even though we do not currently sell such information.

How to Submit a Request. You may submit a privacy rights request by contacting us using the information in Section 16. We will verify your identity before responding, which may require you to provide additional information. You may designate an authorized agent to submit a request on your behalf, subject to verification of both your identity and the agent’s authority. If we deny your request, you may appeal by contacting us using the same information and stating that you are appealing a prior decision.

14. ACCESSIBILITY

We are committed to making the Site accessible to individuals with disabilities. If you experience difficulty accessing any part of the Site or would like to request information in an alternative format, please contact us using the information in Section 16.

15. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will post the revised Policy on the Site with an updated “Last Updated” date. Where required by law, we will provide additional notice of material changes before they take effect. Your continued use of the Site after a revised Policy is posted constitutes your acceptance of the changes.
